# What a Paralegal Really Costs in 2026 (And the Model Smart Firms Use Instead)

It is not only the money. The market for experienced paralegals is genuinely tight. Firms routinely report 8–14 weeks from posting a role to a signed offer

Every managing partner knows the feeling. Discovery is stacking up, intake calls are going to voicemail, and your $400-an-hour attorneys are formatting exhibit lists at 9pm. The obvious answer is "hire another paralegal." The less obvious question is what that decision actually costs you over the next twelve months.

## The real number: $82,000 to $95,000

The US Bureau of Labor Statistics puts the median paralegal salary at roughly $61,000. That figure is where most hiring conversations start, and it is also where most of them go wrong — because salary is rarely more than two-thirds of the true cost of an employee.

Once you add the rest, a single in-house paralegal typically lands between **$82,000 and $95,000 per year**:

- **Base salary:** $55,000–$72,000 depending on specialty and market

- **Payroll taxes and insurance:** roughly 12–15% on top

- **Health benefits and retirement:** $9,000–$16,000

- **Desk, hardware, software seats, practice management licences:** $4,000–$8,000

- **Recruitment fees:** 15–25% of first-year salary if you use an agency

- **Ramp time:** 60–90 days before that person is genuinely productive

Then there is the cost nobody puts on a spreadsheet: _idle capacity_. A salaried paralegal costs the same in a quiet month as in a brutal one. In a practice with seasonal filing peaks — immigration, real estate, personal injury settlement waves — you are paying for the peak all year round.

## Why the "just hire someone" plan keeps failing

It is not only the money. The market for experienced paralegals is genuinely tight. Firms routinely report 8–14 weeks from posting a role to a signed offer, and a meaningful share of hires do not survive year one. Meanwhile the work does not pause.

The result is a familiar pattern: attorneys absorb paralegal-level work at attorney rates. If a partner spends six hours a week on document assembly, calendaring and client chasing, that is roughly 300 hours a year of non-billable or under-billable time. At even a conservative $250 blended rate, you have quietly written off $75,000 — before you hired anyone at all.

If you have never measured this in your own firm, our [fee earner time audit](/fee-earner-time-audit) is a quick way to see where senior hours are actually going.

## The third option: remote legal staffing

Between "stretch the team thinner" and "hire another full-time employee" sits a model that has matured considerably in the last three years: dedicated remote paralegals working under your supervision, on your systems, on your schedule.

This is not the offshore outsourcing of a decade ago — anonymous ticket queues and unpredictable quality. The modern version is a named professional who joins your morning stand-up, works your case management system, and builds real institutional knowledge of your matters.

The economics are straightforward. At **$12/hour**, a full-time remote paralegal costs in the region of $25,000 a year all-in, with no payroll taxes, no benefits administration, no desk, and no recruitment fee. That is a 60–70% reduction against the loaded in-house figure for genuinely comparable process work.

### What remote paralegals do well

- Document drafting, assembly and formatting

- Discovery support, indexing and deposition summaries

- Case file management and CRM hygiene

- Client intake, follow-up and status updates

- Legal research memos and cite-checking

- Court and agency deadline calendaring

### What they cannot do

Be clear-eyed about this. A remote paralegal cannot give legal advice, sign filings, or appear on your behalf. The supervising attorney owns the work product and the ethical obligations, exactly as with an in-house paralegal. Most state bars have addressed legal process outsourcing directly; the common requirements are competent supervision, confidentiality safeguards, and client disclosure where the arrangement is material. Check your own jurisdiction before you begin — it is a short read and it settles the question permanently.

## Why South Africa keeps coming up

Location matters more than the hourly rate. South Africa is a common-law jurisdiction, which means concepts like precedent, discovery and pleadings are already familiar rather than newly learned. English is a first language of business and legal writing. And the time zone gives four to five hours of genuine overlap with the US East Coast and a full working day with the UK — enough for real-time collaboration rather than overnight handoffs.

At LawCru we recruit almost exclusively from this talent pool for precisely those reasons. You can see how we compare regions and what the vetting process involves on our [about us](/about-us) page.

## A simple test before you hire

Before you post another job ad, run this three-question filter:

1. **Is the work process-driven or judgment-driven?** Process-driven work — assembly, indexing, chasing, summarising — delegates cleanly to a remote paralegal. Judgment work stays with your attorneys.

2. **Is demand steady or spiky?** Spiky demand favours a model you can scale up and down without severance conversations.

3. **How fast do you need capacity?** If the honest answer is "last month", a 10-week recruitment cycle is not a plan.

## How LawCru works

We are a remote legal staffing partner, not a job board. You share a short brief; within 24 hours you receive three curated video interviews from pre-vetted legal professionals, so you are assessing real people rather than reading CVs. Every candidate goes through a multi-stage screening process covering legal knowledge, written English, communication and reference checks.

Firms typically start with one of three roles:

- [Hire a remote paralegal](/hire-a-remote-paralegal) — general litigation and transactional support

- [Hire an attorney-qualified paralegal](/hire-an-attorney-qualified-paralegal) — for research-heavy and drafting-heavy caseloads

- [Hire an intake specialist](/hire-an-intake-specialist) — for firms losing leads to slow response times

Rates start from $12 / £10 per hour, with full transparency on what each level includes — the breakdown lives on our [roles and pricing](/#roles) section.

## The bottom line

Hiring in-house is still right for some roles, particularly senior paralegals who sit at the centre of complex matters and client relationships. But for the substantial layer of process work underneath them, paying $90,000 in loaded cost is a decision, not an inevitability.

The firms growing fastest in 2026 are not the ones with the biggest payrolls. They are the ones that matched each piece of work to the cheapest competent resource that could do it well — and put their attorneys back on the work only attorneys can do.
